Role Description
1. Debtors Management
a. Monitor debtors regularly and coordinate with the Marketing Department to ensure timely collections.
b. Maintain regular communication with Marketing Department regarding outstanding balances, payment schedules, and reminders.
c. Prepare detailed MIS reports on debtors as per the requirements of the Managing Director.
d. Develop MIS reports for both domestic and export debtor collections, highlighting delays in payments against agreed terms in purchase orders.
3. Collection Projections
a. Receive weekly collection projections from HODs and Marketing Team.
b. Sharing of Daily Projection vs Achievement Report to Managements
4.Payment Advices
a. Ensure receipt of payment advices from HODs within 24 hours of payment realization.
b. Oversee and reconcile outstanding balances across all Group Companies.
c. Ensure timely adjustment of advances against pending invoices.
d. Timely up dating of debtor accounts and accurate reflection of collections.
5. Deduction Memos
a. Obtain deduction memos from HODs within 48 hours of occurrence.
b. Proper accounting of deductions and reconciliation of debtor balances with Valid reasoning to be provided in case of delay
6. Ageing Analysis of Debtors
a. Prepare and review monthly ageing reports of debtors to identify overdue accounts and initiate timely follow-ups.
7. Bank Collections
a. Oversee all bank-related collections.
9. Collection Efficiency Tracking
a. Measure and report collection efficiency ratios (e.g., Days Sales Outstanding - DSO) to management for performance evaluation.
10. SBI Factoring
a. Documentation process, uploading, arrangement for factoring from SBI factors and crediting the fund to our account.
11. Banking Operations
a. Forex transactions documentations & MIS
b. Obtaining CA certification for Import/Export Realisation
c. Interest Checking for CC,WCDL,Term Loan, Term Deposits.
d. Follow up on BRS pendencies and suspense accounts.
e. Monitoring lag in updating data in Tally ERP.
f. Emailing to bank to ensure monthly receipt of GST Tax Invoice.
Qualifications
- Accounting and financial skills, including proficiency in financial reporting, budgeting, and invoicing
- Strong proficiency in using accounting software and tools for accurate record-keeping and reconciliation
- Knowledge of compliance with applicable financial regulations and standards
- Excellent organizational and analytical skills with attention to detail
- Effective communication and interpersonal skills to collaborate across teams and with external stakeholders
- Ability to manage multiple tasks and prioritize responsibilities
- Bachelor’s degree in Accounting, Finance, or a related field; relevant certifications are a plus
- Prior experience in a similar role, especially in the manufacturing industry, will be an advantage
