Job Summary


We are looking for a proactive and detail-oriented Admin Executive to support day-to-day administrative and office operations. The role requires strong coordination skills, vendor management, documentation handling, and the ability to maintain smooth office functioning in a fast-paced, professional environment.


Key Responsibilities


Office Administration & Operations


Oversee daily office operations and ensure smooth functioning of administrative activities


Manage office supplies, stationery, pantry items, and general housekeeping requirements


Coordinate with facility management, security, housekeeping, and maintenance vendors


Ensure office infrastructure, utilities, and equipment are well-maintained


Handle vendor coordination, quotations, purchase orders, and invoice processing


Maintain records of office assets, AMC contracts, and service schedules


Support procurement of administrative and operational items as required


Documentation & Compliance


Maintain proper documentation for administrative records, agreements, and approvals


Support internal audits, inspections, and compliance-related documentation


Assist HR and finance teams with admin-related records and coordination


Coordination & Support


Coordinate travel bookings, accommodation, and logistics for staff and visitors


Assist in organising meetings, training sessions, and internal events


Act as a point of contact for internal teams for administrative support


General Support


Handle incoming calls, couriers, and official correspondence


Support management with ad-hoc administrative tasks and reporting


Ensure adherence to company policies and office protocols


Required Qualifications & Skills


Education


Graduate in any discipline (BA / BCom / BSc / BBA or equivalent)


Experience


2–3 years of relevant experience in administration or office operations


Prior experience in corporate, manufacturing, biotech, pharma, or healthcare environments is an advantage


Skills & Competencies


Strong organisational and coordination skills


Good communication skills (verbal and written)


Working knowledge of MS Office (Word, Excel, Outlook)


Ability to multitask and handle responsibilities independently


Professional attitude with attention to detail


Local resident of Navi Mumbai


Immediate or short-notice joiners preferred
