Position Summary The Healthcare Administrative Coordinator provides administrative and document support for physicians, employees, and internal departments at Queens Surgical Center. This role is responsible for maintaining organized records, tracking required documents, following up on missing information, updating spreadsheets and files, and helping ensure that records remain current and complete.
This position is ideal for someone who is organized, detail-oriented, comfortable using a computer, and able to manage multiple follow-ups in a busy healthcare office environment. The role requires strong administrative skills, accuracy, and the ability to communicate professionally with staff and providers. Key Responsibilities Maintain organized electronic and paper files for physicians, employees, and related administrative records Track required documents, renewal dates, and outstanding items using spreadsheets and internal tracking tools Follow up by email and phone regarding missing, incomplete, or expired documents Update and maintain administrative logs, file records, and status trackers accurately and on time Assist with collecting and organizing onboarding paperwork for new hires and providers Monitor deadlines and send reminder notices for upcoming renewals and document updates Prepare routine status reports for leadership on outstanding items and follow-up progress Support recordkeeping and document preparation for internal review and audits Perform data entry and ensure information is entered accurately into spreadsheets and internal systems Help keep active and pending personnel records updated and organized Communicate with staff, providers, and internal departments to request, collect, and confirm required information Assist with general administrative support duties related to healthcare operations and compliance Maintain confidentiality of sensitive employee and provider information Support other administrative projects and office tasks as assigned Qualifications Associates degree or bachelors degree preferred 12 years of administrative, office support, healthcare administration, HR support, or related experience preferred Strong computer skills, including Microsoft Excel, Word, Outlook, and general file management Strong organizational skills and attention to detail Ability to manage multiple tasks, deadlines, and follow-up items Strong written and verbal communication skills Comfortable working with documents, spreadsheets, and routine administrative processes Ability to work independently and follow through on assignments Experience in a healthcare office, medical setting, or professional office environment preferred Bilingual Chinese and English is a plus Work Location In person | Based in Flushing, Queens
