This role provides complex, specialized administrative and legal support to assigned attorneys and paralegals within a fast‑paced corporate legal environment. Candidates should have 5+ years of experience supporting Partners and Attorneys in an Administrative Support role (Legal Secretary, Legal Assistant, or Paralegal). This role will be a hybrid role; 4/1 – four days in the office with 1 day work from home (Mondays) according to firm policy.Key Responsibilities Document & Matter Support Prepare, revise, and finalize legal documents using draft materials, redlines, oral instruction, and DocuSign.Proofread end products for accuracy and quality.Create and maintain electronic files using document management and email systems.Prepare new‑business forms such as conflict checks, engagement letters, and waivers, in coordination with intake and conflicts teams.Administrative Support Maintain attorney calendars; schedule and coordinate virtual and in‑person meetings; proactively resolve conflicts.Submit invoices, billing adjustments, expense reports, travel reimbursements, and other requests in accordance with finance guidelines.Enter attorney time daily and maintain appropriate records.Review, distribute, and process prebills.Perform tasks related to audit letters.Practice & Client Support Conduct legal research as requested.Maintain attorneys' CLE credits and bar admission renewals.Arrange travel, recommending optimal flight and lodging options within policy.Coordinate with internal service teams on courier needs, mailings, and copy jobs.Print or copy materials that cannot be routed through service centers.Utilize CRM tools to support business development efforts.Maintain ongoing, professional communication with assigned attorneys, colleagues, and clients.Provide assistance to additional team members when needed.Mentor and delegate work to junior staff as appropriate.Stay current on updates to firm software, tools, and workflows.Participate in pilot programs related to technology or process improvements.Other duties as assigned.Required Qualifications 5+ years of administrative support experience in a law firm or in‑house legal department (corporate/business practice strongly preferred).Proficiency in Microsoft Office, document management systems, and other legal software (training provided).Availability to work overtime as needed.Preferred Qualifications Ability to interpret legal terminology and procedures.Bachelor's degree or business college certificate.Ability to work independently while supporting multiple attorneys in a fast‑paced environment.Strong organizational and prioritization skills; consistent ability to meet deadlines.Effective delegation skills when needed.High level of initiative, professionalism, confidentiality, and tact.Excellent proofreading, writing, and communication skills with strong attention to detail.Reliable, organized, and punctual.Our client offers competitive compensation and a comprehensive benefits package.
