Job Description

Procurement Coordinator for provincial government agency client, downtown Toronto.

Job Type: Temporary.

Initial Term: From April 20, 2026 to January 15, 2027.

Existing Vacancy: Yes.

Compensation: From $34.61 per hour to $47.90 per hour, according to experience.

Regular Work Hours: 7. 25 hours per day not including 1 hour unpaid lunch break, to be worked between the hours of 8:00 am to 4:30 pm, Monday to Friday (36.25 work hours per week).

Work Location: 100% onsite at client's Toronto office near TTC station.

Responsibilities Summary

To coordinate and provide expert advice for variety of procurement, contract management and outsourcing service processes and initiatives, from planning to implementation. Will contribute to strategic procurement and contract development, assist with developing and implementing procurement initiatives, and monitor procurement service arrangements to ensure they are completed according to organization terms and conditions. Will lead procurements and second stage procurement process under the direction of Procurement Consultant, and act as primary contact for the retrieval of documentation from past procurements by ensuring a quality filing system for all procurements which is accurate, accessible and complete.

  • Support procurement implementation by gathering information, preparing documentation, consulting with management and assisting with analysis for logistical procurement needs. Consider all facts, what ifs, risk mitigation, and precedents to thoroughly analyze information.
  • Assist in competitive tender process by helping prepare Request for Services (RFS) documents, ensuring they follow established procurement and OPS rules and guidelines. Consult, exchange information, discuss issues, gain support, and liaise with others to seek information and work collaboratively on projects.
  • Contribute to development of procurement plans, including development of procurement strategies, business cases, cost-benefit analyses, changing business practices, and preparation of procurement-related documents.
  • Establish and maintain effective relationships with a variety of internal and external stakeholders. Maintain positive working relationships with vendors by responding to inquiries, providing clarification on procurement procedures and escalating issues when needed.
  • Attend procurement meetings to take notes, track action items, and provide basic updates on procurement activities. Document decisions and maintain audit trail.
  • Will prepare high volume of written materials such as business cases, briefing notes, analysis, and research findings.
  • Assist in reviewing and updating internal procurement and contract management procedures to align with OPS directives and support efficient administrative practices.
  • Additional procurement support and coordination responsibilities as required.

Qualifications

Education: Post Secondary Degree or Diploma in Business Administration, Public Administration, or equivalent discipline.

Preferred Work Experience: At least 3+ years of progressive experience supporting a procurement team.

Preferred Sector Experience: Public sector / broader public sector procurement experience preferred.

Technical and Language Skills Requirements

  • Proficiency in MSWord, Excel and PowerPoint, Outlook and Teams (will be tested)
  • Demonstrated experience with project management/collaboration tools such as MS Project, Excel trackers, or SharePoint (may be tested).
  • Demonstrated familiarity with online / web-based / Internet based applications and search functions.
  • Advanced English written and reading comprehension skills, including advanced level business writing skills, excellent spelling, grammar, proofreading and syntax (may be tested).
  • Strong English conversational skills suitable for a diverse range of audiences including senior leadership, and professional telephone manners.

Task -Based Qualifications and Additional Attributes

  • Knowledge of public sector procurement directives and associated policies.
  • Knowledge of end-to-end procurement lifecycle.
  • Experience with use of procurement tools such as RFP, RFQ, VOR.
  • Experience with risk management and policy compliance protocols and best practices.
  • Punctual, responsible, and reliable. Demonstrated record of professional conduct and character.
  • Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
  • Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
  • Superior attention to detail, and organized, methodical approach to completion of tasks.
  • Demonstrated ability to work well both independently and collaboratively, and in an advisory capacity, and liaise effectively with a wide and diverse range of internal and external stakeholders.

Additional Requirements

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work 100% onsite, abiding by organization health and safety policies.
  • Ability to promptly provide 3 qualified employment references upon request who are available to speak with either Marberg or Marberg's client.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Satisfactory Background Checks, Technical Skills Evaluations, Interpersonal Skills Assessment, and Employment References as required.
