POSITION DESCRIPTION & EXPECTATIONS

1. Job Title & Position Information

Job Title: Human Resources - Recruiter

Reports To: Ana Espinoza, President

Employment Type: Hourly

Schedule: Monday–Friday, 8:00 a.m.–6:00 p.m., with flexibility as required

Compensation: $15.00 - $25.00

2. Position Summary:

The Human Resources Recruiter manages full‐cycle recruitment, employee relations, onboarding, safety compliance, documentation control, and departmental support for HR and office functions. This role ensures all internal processes align with company goals, regulatory requirements, and ongoing project needs.

2.1 Benefits

Paid Time Off (PTO)

PTO is accrued every pay period and increases with your tenure at the company.

Salaried Employees:

  • 90 days – 1 year: 10 paid days (2 weeks) + 5 additional unpaid days
  • 1 – 5 years: 15 paid days (3 weeks) + 5 additional unpaid days
  • 6 – 10 years: 20 paid days (4 weeks) + 5 additional unpaid days
  • 11+ years: 25 paid days (5 weeks) + 5 additional unpaid days

Hourly Employees:

  • 90 days – 1 year: 5 paid days (1 week) + 5 additional unpaid days
  • 1 – 10 years: 10 paid days (2 weeks) + 5 additional unpaid days
  • 10+ years: 15 paid days (3 weeks) + 5 additional unpaid days

Paid Holidays

Employees receive 7 full paid holidays each year:

  • New Year’s Day
  • Memorial Day
  • Independence Day
  • Labor Day
  • Thanksgiving Day
  • Christmas Day
  • Good Friday

Additional Half‐Day Holidays (Salaried Employees Only):

  • Christmas Eve (half day)
  • New Year’s Eve (half day)

  • Annual profit‐sharing potential based on company performance and key metrics (KPI).

3. Core Responsibilities

3.1 Recruitment, Onboarding & Employee Support

  • Execute full-cycle recruiting through social media, online platforms, phone screenings, emails, and coordination with temp agencies as needed.
  • Develop and implement recruitment strategies aligned with business demands.
  • Manage job postings, sourcing plans, and collaborate with department heads and hiring managers to define hiring needs.
  • Prepare and maintain onboarding packages.
  • Set up employee benefits for new hires and support benefit renewals (health insurance, 401K as applicable).
  • Handle employee complaints, grievances, disputes, and participate in corrective action processes.
  • Conduct or coordinate trainings, evaluations, disciplinary documentation, and exit interviews.
  • Maintain strong working relationships with external recruiting partners and job boards.

3.2 HR/Documentation

  • Maintain and coordinate documentation and office/site needs.
  • Maintain requirements for company and employee registrations, certifications, and compliance records.
  • Maintain and update QMS documentation for the department and company.
  • Support CAPA activities and other quality‐assurance initiatives to meet customer satisfaction and internal expectations.
  • Coordinate HR shared mailbox.

3.3 Analytics, Metrics & Reporting

  • Analyze HR, Safety, QA, and project‐related metrics, including trends, performance KPIs, and benchmarking data.
  • Provide regular reports and insights to support leadership decision making.

3.4 Cross‐Department & Administrative Support

  • Support office team with additional tasks as needed.
  • Collaborate with administrative staff and managers across multiple departments.
  • Participate in various initiatives involving HR, Safety, QA, and company advancement efforts.
  • Support ongoing and new projects such as GSA or other company development programs.

4. Short‐Term Expectations (First 30 Days)

  • Become familiar with the company’s recruiting workflows, QMS documentation, and HR processes.
  • Demonstrate reliability in follow‐up, note taking, communication, and proactive task management.
  • Begin managing recruiting channels and onboarding processes with minimal supervision.
  • Support daily department needs, including documentation, scheduling, and cross‐team coordination.
  • Establish and maintain accurate records for safety, certifications, and employee files.

5. Long‐Term Plan & Growth Objectives

  • Manage all HR and QA processes with increasing independence.
  • Strengthen the accuracy and completeness of documentation, reporting, and compliance-related tasks.
  • Improve recruitment effectiveness through refined sourcing strategies and analytics.
  • Develop strong cross‐department collaboration and become a go‐to resource for HR and QA support.
  • Contribute to improving company systems, documentation standards, and project workflows.

6. Weekly & Monthly Deliverables Plan

6.1 Daily & Weekly Deliverables (Ongoing)

  • Daily: Maintain accurate HR, Safety, and QA documentation and update records as tasks are completed.
  • Daily: Respond to emails, hiring needs, and employee inquiries promptly.
  • Weekly: Provide updates on recruiting progress, onboarding, training, safety documentation, and QA tasks.
  • Weekly: Review and confirm department priorities with management.

6.2 Monthly Deliverables & Review

  • Monthly KPI review with Management Team, covering recruitment metrics, documentation accuracy, safety compliance, and QA performance.
  • Monthly review of active projects, certifications, and improvement opportunities.
  • Monthly proposal of process improvements for HR, Safety, or QA workflows.

7. Work Expectations & Availability

  • Must ask questions immediately when instructions, requirements, or documentation are unclear.
  • Ability to multitask, manage multiple schedules, and adjust to shifting priorities.
  • Additional hours may be required depending on recruiting demands and compliance deadlines.

8. Qualifications

  • Strong note taking, follow‐up, communication, and proactive work habits.
  • Strong skills in Excel and MS Office.
  • Highly analytical with strong multitasking and time‐management abilities.
  • Excellent reading, writing, and organizational skills.
  • Ability to provide strong customer service and collaborate effectively.
  • QuickBooks (basic) proficiency preferred.
  • Strong problem‐solving and critical‐thinking skills.
  • Ability to adapt to new project needs and fast‐paced environments.

10. Work Environment
May require extended periods of computer-based work and basic physical requirements.

11. Performance Review & Continuation of Engagement

This consulting engagement is performance‐based. Continuation of work, expansion of responsibilities, compensation changes, and any future discretionary immigration support (including work visa sponsorship) are contingent upon sustained performance, measurable deliverables, and business needs. The consultant will be evaluated bi‐weekly based on the daily/weekly deliverables and KPI expectations described above.
