Business Operations Manager Wine Import & Distribution
Grapejuice Group – Denver, Colorado (In Office) Role Overview The Business Operations Manager oversees the operational lifecycle of Grapejuice Group's wine and spirits import and distribution business, ensuring the efficient movement of product from international producers to U.S. distributors. This role sits at the center of the company's operations and works closely with executive leadership, producers, distributors, logistics partners, and compliance providers to coordinate inventory, shipments, regulatory requirements, and operational systems. The ideal candidate is highly organized, proactive, and entrepreneurial. Ideally, we are looking for someone who takes ownership of systems and processes and is constantly looking for ways to improve how the business operates. Inventory & Logistics
ALL Manage inventory across East and West Coast warehouses
Track incoming shipments, containers, and inventory in transit
Monitor depletion rates and maintain forward-looking inventory projections
Coordinate inter-warehouse transfers and replenishment
Audit warehouse inventory reports and monthly warehouse billing
Coordinate demand forecasting with leadership and sales teams
Maintain purchasing plans with producers based on production and shipping timelines Importing & Freight Coordination Coordinate container shipments from international producers
Plan shipment timing in coordination with producers and inventory projections
Organize international freight, customs clearance, and domestic transport
Track shipments from origin through warehouse delivery
Manage freight forwarders, trucking companies, and warehouse scheduling
Monitor production schedules and coordinate shipment consolidation
Ensure timely pickup and delivery to avoid demurrage or port delays Order Processing & Distributor Support Process distributor purchase orders through the company CRM system
Coordinate order fulfillment with warehouse partners
Manage direct-import orders and coordinate delivery timelines
Resolve delivery issues and maintain communication with distributors and warehouses
Coordinate sample shipments and distributor support initiatives Compliance & Regulatory Coordinate customs clearance documentation with brokers
Manage CBMA filings and applicable duty/tax reporting
Maintain compliance with federal and state alcohol regulations
Coordinate COLAs and state product registrations
Maintain a compliance calendar tracking regulatory deadlines and renewals Distributor & Producer Coordination Manage distributor operational relationships and respond to requests
Track depletion reports and distributor performance
Coordinate pricing updates and special programs
Serve as operational liaison with international producers
Coordinate purchase orders, shipment schedules, and inventory planning Systems & Operational Development Maintain accurate inventory, pricing, and product data across company systems
Ensure CRM and accounting systems remain synchronized
Generate operational reports for leadership
Develop and improve operational workflows and documentation
Identify operational inefficiencies and implement process improvements Key Relationships This role works closely with: International wine producers
Freight forwarders and trucking companies
Customs brokers and compliance consultants
Warehouse and logistics partners
U.S. distributors and sales teams
Internal accounting and leadership teams Qualifications Experience in wine importing, beverage distribution, logistics, or supply chain operations required
Experience coordinating international shipments and freight logistics
Beverage alcohol compliance experience strongly preferred
Experience working with multi-state distributor networks preferred
Strong organizational and project management skills
Ability to manage multiple operational processes simultaneously
Excellent communication and relationship management skills
Experience with CRM, inventory, and accounting systems (QuickBooks, Vinosmith, Fintech, or similar) preferred
Valid passport and ability to travel internationally occasionally to visit producers and support company initiatives Ideal Candidate The ideal candidate is: An entrepreneurial self-starter who takes ownership of their work
